Confirm the recipient and source

Check the person, company relationship and email source. A publicly visible address is not automatic permission for every marketing use. Apply your organization’s processing basis and channel requirements.

Personalize only with verified context

Do not rewrite “this company may benefit” as “we know you are buying.” Use public business facts and explain a plausible connection between the prospect’s work and the problem your product addresses.

Offer one useful next step

The first email does not need the full feature list. Briefly explain the relevant value and ask one easy-to-answer question so the recipient can decide whether a conversation is worthwhile.

Check the mailbox and sending policy

Review address validation, sender identity, time window, frequency, approval scope and unsubscribe handling. Validate a small sample and investigate bounces or complaints before increasing volume.

Keep feedback with the customer record

Link delivery history, genuine replies, ownership and the next action to CRM. Privacy mechanisms and automated scanners can affect open and click signals, so do not treat them alone as sales intent.
