Make every source easy to revisit
Preserve original URLs and collection times for company names, websites and contact information. Inaccessible sources, contradictory fields and mock records need review before any real outreach.
Use domains to help identify duplicates
Normalize URLs and compare company entities. A shared domain is a useful clue, but corporate groups, subsidiaries and regional operations may need human judgment. Do not merge records based only on similar names.
Distinguish missing data from poor fit
An unknown company size is not an unsuitable company size. Track missing fields and decide which must be enriched before scoring and which can be clarified in a conversation.
Check when the information was verified
People change roles, businesses change focus and email addresses stop working. Retain collection and verification dates, and revisit stale records instead of repeatedly passing old information through automation.
Understand the limits of email validation
Syntax checks establish only that an address has a plausible format. Domain and SMTP checks may be affected by server policies. Validation cannot guarantee delivery, replace permission or predict a reply.
